6 Things You Must Do to Avoid AV Problems at Your Special Event

Your AV plans and equipment are essential to ensuring that your special event proceeds as planned. You need to avoid possible malfunctions by preparing properly before your event. The following are six things you must do in advance to avoid AV problems at your special event: 

1. Concentrate on coordinating different aspects of AV effects

For successful special event AV, you need to make sure that all aspects of your audiovisual presentation are working together properly. This means that you need to coordinate any slides or visual cues with lighting and music. One of the easiest mistakes to make regarding AV is allowing errors like technical miscues and pauses to occur during your event that will distract your audience. 

2. Make careful budget calculations before your event

Set a budget in advance. AV equipment and services may get pricey if you're not making careful budget calculations and staying constantly aware of any expenses. 

3. Familiarize yourself with venue policy matters

You want to make sure you're following all of the rules set by your event venue. Make sure you verify that you're permitted to use special equipment before you use it. Also, don't make any alterations to your venue site unless you first ok them with the venue. Most local event AV support services will be familiar with these policies and could help you meet the requirements. 

4. Take advantage of any AV equipment that's available to you for free

You may be able to reduce AV costs by taking advantage of equipment that is available for free through your event venue. It can be expensive to rent AV equipment like speakers, outlets, monitors, and Wi-Fi equipment. Ask at your venue for advice on equipment availability. If your venue doesn't have particular pieces of equipment available, a representative from your venue may be able to give you tips on how to find the equipment you need through a partner for a reduced price. 

5. Rehearse all presentations beforehand

Rehearsal is essential for avoiding AV errors. Go through at least one full and detailed rehearsal. This rehearsal should include going over any presentations or speeches that are going to take place. 

6. Inspect your equipment right before your event to make sure it's working and hooked up properly

You need to take to the time to make sure your equipment is hooked up properly right before your event. Don't assume that your equipment is ready because you inspected it the day before or at a previous rehearsal. It's possible someone might have disconnected important equipment in the meantime, so double-check that everything can be relied on to work when it should for a smooth, seamless AV presentation.
